Absence management

This link provides a list of documents that deal with Statutory and Occupational health plans, shift patterns and the recording of employee absences.

ADP Freedom Accumulators (101kB)

Accumulators are records of totals so far. For example, there are accumulators for; Gross Pay, Earnings, Tax, and Employer Contributions. This document describes how accumulators can be adjusted in both parallel and live modes.

Appraisals (1MB)

This document explains how to implement appraisals using the full functionality that ADP freedom can provide. It is up to each individual organisation as to which features they wish to use.

ADP freedom provides the flexibility to:

  • Fully integrate appraisals with employee development and self-service functionality.

  • Select only those features that suit your organisation’s current appraisal methods.  

  • Simply maintain a record of scheduled and completed appraisals.

Audit review Assistant (57kB)

The audit review assistant allows the user to view any database changes that have been made since ADP freedom was implemented. This document describes how to use the assistant.

Company Vehicles (354kB)

This document provides details on how to maintain your company vehicles within ADP freedom. In particular it identifies fields that are relevant to your P11d reporting.

Competency framework (182kB)

Part of the employee development and assessment, the competency framework defines behaviour attributes that may be expected for various levels within the organisation. Behaviours are grouped under competencies that can be defined to suit the company requirements.

This document describes how to create a competency framework and how to configure a competency grading scale to use in employee assessment.

Data entry by employee (316kB)

Data entry by employee/employer describes how the employee enters time and expense information through Self Service, and then how the employer, in this case the employee’s line manager, would authorise or reject the information.

This document also describes how the payroll administrator processes time and expense information through the main ADP Freedom application.

Electronic data interchange (1119kB)

Within ADP freedom, EDI allows the employer to send data to HMRC at a time that suits them. This document describes the implementation and monitoring of both inbound and outbound EDI.

The Employee Benefits pdf document describes how to configure benefits for use within ADP freedom. From setting up pre-requisite lookup tables and configuring earnings and deductions for benefit use, to creating benefit plans that can be used to fast track new employees into plans that are common to most employees.

ADP freedom's General Ledger Interface helps you maintain your general ledger system by assigning an account number to each payroll transaction.

HMRC Real Time Information (RTI) (1119kB)

HMRC Real Time Information (RTI) is used to send employee pay data to HMRC as payments are made. This document describes the RTI submissions and how they are implemented in Freedom.

HR import (763kB)

 

HR Import allows the mass import of data into ADP freedom using MS Excel spreadsheets as templates.

This document provides details on using the HR Import mechanism.

Leaver process (705kB)

The Leaver Assistant enables ADP freedom users, with appropriate pre-defined user roles or security permissions, to quickly access a collection of pages required to process a Leaver.

The documentation describes the five processes of the Leaver Assistant:

  • Pre-Notification (Only if initiated through ESS)

  • Register Leaver

  • Prepare/Make Payment

  • Final Working Day/Post Leaver

  • Exit Interview (Optional)

Net to gross (136kB)

Net to Gross is used when an employer wishes to calculate a Gross figure based on an agreed Net amount to be paid to an individual employee.

This document describes how Net to Gross works and provides information on how to define earnings and deductions as Net to Gross.

New starter (1975kB)

The new starter assistant provides a work-flow process that steps the user through the various stages that are required to register a new employee's details.

This document describes each registration process and gives instructions on how to pass processes from one area of responsibility to another.

National insurance assistant(122kB)

The National Insurance Contributions Assistant provides a mechanism to allow payroll administrators,to change an employee’s National Insurance code for payruns already committed and to recalculate their contributions in line with HMRC regulations. This document provides further information on using the National Insurance Contributions Assistant.

Organisation charts

Organisation charts provide a pictorial view of reporting structures. Reporting structures include:

  • Business unit reporting.

  • Position reporting.

  • Direct reporting via the appointment reporting structure.

  • A combination of the last two, where the incumbents of positions are shown.

Real Time Information (RTI) (714kB)

Real Time Information (RTI) is being introduced by HMRC to improve the operation of PAYE. Information is sent to HMRC more frequently following every payrun and each tax period. This manual describes the RTI submissions and how they are created and monitored within Freedom.

Reminders

This document details how to create reminders and how to select recipients of those reminders. The document also provides information on how to view and manage reminders once they have been received.

Reports

This link provides a list of documents that describe the ADP freedom Standard and Ad Hoc Reports. The Reports list also provides access to the Mail Merge Assistant document.

This document describes how to configure and maintain the Self Service element of ADP freedom. It covers security, authorisation and notification, lists and domains.

Skill profiles & skills search (370kB)

This document describes how to configure skill profile requirements for business units, jobs and grades and then how to search for employees who have specific skills recorded against them.

Special Accumulators (pdf 228kB)

 

Accumulators are simply totals of specific earnings or payments per employee. Accumulators are maintained automatically, by the system, for such things as National Insurance, taxes, gross pay, student loan repayments and other regular incomings and out-goings but it is also possible to create user defined, or special, accumulators for any other type of earning or deduction.

This document describes how to create special accumulators.

Transfer Assistant (219kB)

Transferring an employee from one appointment to another is relatively simple and can be handled by the standard data entry pages.

Transferring an employee appointment from one pay group to another, involves more complex issues and for this process, ADP Freedom provides the Employee Transfer Assistant. This document describes how to transfer an employee to a different pay group using the Employee Transfer Assistant.

Workplace Pensions Reform

 

Workplace Pensions Reform processing in Freedom is an optional module. It automatically enrols all eligible employees in a default qualifying pension scheme, makes the required employer and employee contributions, and produces the statutory and other useful reports required to manage this processing.

Automatically assigning New Starter Work-flow tasks (225kB)

The various processes associated with taking on new employees through the New Starter Assistant can be automatically allocated to relevant personnel. Using dynamic lists ADP freedom can identify who should be completing the various tasks and notify them accordingly.
