How Workplace Pensions Reform works with HR.net integration

When HR.net and Freedom are integrated, data is passed automatically between the two systems to keep them consistent. Foundation data is sent from Freedom to HR.net, and employee details are sent from HR.net to Freedom. See About the HR.net Freedom Integration for more information.

Although for integrated clients HR.net is normally the owner of the employee data and feeds updates to ADP Freedom, for Workplace Pensions Reform Freedom takes the lead.

This means that HR.net is sent the workplace pension enrolment details as employees are automatically enrolled in Freedom by the Freedom Workplace Pensions Reform component.

Workplace Pensions Reform Auto Enrolment (Freedom > HR.net)

Employees in ADP Freedom are assessed and depending on each employee's employment conditions in the company they may be deemed eligible for automatic enrolment into an qualifying pension scheme. Freedom will enrol them automatically into the default pension scheme. This auto enrolment can happen as a result of a manually initiated Mass Enrolment Process or from an assessment process run as part of a regular payrun.

As a result of the pension enrolment, the new pension membership details and the details of the new deductions (for employer and employee contributions) that have been created for each employee are transferred automatically to HR.net to keep the two systems consistent.

HR.net New Starters (HR.net > Freedom)

In this integrated environment, the HR.net New Starter process is responsible for  assessing the eligibility of a new employee for auto-enrolment into the default pension scheme defined at Pay Group Level.

If a new starter is assessed and assigned a category of eligible jobholder the employee will either be enrolled by HR.net or Freedom, depending on the postponement rule that applies.

If the postponement rule is Do not postpone, HR.net enrols the employee into the default pension scheme.

In contrast, if a postponement rule applies that defers the enrolment, the employee will be re-assessed within Freedom (typically during the next payrun). At this point, Freedom will perform the processing required to enrol the employee in the default scheme, and create the necessary pension deductions. This information will then be sent back to HR.net automatically (see above).

HR.net Employee Updates (HR.net > Freedom)

The following employee details relating to Workplace Pensions Reform are transferred to Freedom from HR.net, in addition to all of the other employee data:

When these details are received, Freedom will unenrol the employee from the appropriate pension as at the opt out date and pass back the end date for the pension scheme enrolment. This unenrolment processing is also carried out as part of the Auto Assessment/Enrolment processing when it is next run, typically as part of the next payrun.
